Challenges

Before the implementation of 360TNA, HALCON faced several critical challenges related to managing employee attendance:

  • HALCON used biometric devices to record employee attendance, but the data needed to be manually processed for violations like missed punches, early exits, or absenteeism. This was both time-consuming and error prone, often leading to delays in payroll processing and compliance reporting.
  • HALCON’s HR system, SAP SuccessFactors, was not integrated with their biometric attendance system. This disconnection made it difficult for HR to access real-time attendance data, complicating workforce management and reporting processes.
  • Employees who encountered attendance issues, such as missed punches, had no streamlined method to raise exceptions or request adjustments. The lack of an automated exception approval workflow led to inefficiencies, with HR managers struggling to keep up with manual requests.

Solution

The implementation of 360TNA offered HALCON a range of features designed to address their specific needs, including data integration, attendance violation detection, and exception handling.

  • The 360TNA system was integrated with HALCON’s existing Suprema/BioStar biometric devices. This integration allowed for automatic capture and transfer of attendance data in real time. By establishing a database-to database connection, 360TNA was able to pull raw attendance data from the Suprema/BioStar system and process it according to HALCON’s fixed 8.5-hour shift schedules.
  • In the case of violations, 360TNA provided employees with the option to raise exception requests, which were then routed to their line managers for approval.
  • A critical element of the solution was the seamless integration between 360TNA and HALCON’s HR system, SAP SuccessFactors. The integration was facilitated via RESTful API endpoints, allowing real-time data exchange between the two systems.
  • The 360TNA system provided HALCON with a suite of reporting tools that allowed managers to monitor attendance and violations in real-time.
  • Data security was a priority in the implementation of 360TNA. The system utilized LDAPS for user authentication, ensuring secure access to sensitive data. Additionally, all credentials and sensitive information were encrypted and securely stored. An audit trail feature was also included, allowing HALCON to track all workflow operations, including timestamps, for
    comprehensive monitoring and compliance purposes.

The introduction of 360TNA at HALCON made a significant difference in how the company manages its workforce. What used to be a time-consuming, manual process became seamless and efficient. With real-time attendance tracking and automated handling of issues like missed punches or early exits, the system brought a new level of accuracy and reliability. By connecting easily with
HALCON’s existing HR platform, the entire process became smoother for both employees and managers. As a result, the company saw improved productivity, better compliance, and a noticeable reduction in the daily administrative burden, creating a more streamlined and accountable work environment.
